Automation is not just for large companies with complex systems.

In most small businesses, the best opportunities are much simpler. They are usually the repetitive tasks that happen every day and take up more time than they should.

Here are seven signs that part of your workflow could probably be automated.

1. You copy the same information between different tools

If someone fills in a form and you then copy their details into a spreadsheet, CRM or another system, that is a good place to start.

In many cases, those systems can be connected so the information moves automatically.

2. You send the same emails again and again

Confirmation emails, follow-ups, reminders and onboarding messages are often very similar.

If the message is triggered by something predictable, there is usually no reason to write and send it manually every time.

3. Things get missed when the business gets busy

A follow-up does not get sent. A lead is forgotten. Someone forgets to update a system.

This is often less about people making mistakes and more about relying on memory for processes that happen repeatedly.

Automation can make sure the next step happens when it should.

4. Reporting takes too long

If someone spends an hour every week pulling figures from different places and putting them into a report, there may be a simpler way.

The information can often be collected automatically and sent to the right people without someone rebuilding the same report each time.

5. One person knows how everything works

This happens a lot in small businesses.

One person knows which spreadsheet to update, which email to send, what happens next and who needs to be told.

That can become a problem when they are busy, off sick or leave the business.

Automating parts of the process can make it less dependent on one person remembering every step.

6. Customers are waiting because of admin

Sometimes the actual work is not slow. The delay comes from everything around it.

A customer is waiting for someone to confirm a booking, send an update, create a record or pass information to another team member.

Automating those steps can make the whole experience feel much faster.

7. You keep thinking, "I have to do this again"

This is probably the simplest test.

If a task happens regularly, follows the same rough process and does not need much judgement, it is worth looking at.

You do not need to automate your whole business.

Start with one repetitive workflow that takes up time every week and see how much of it can be removed.
